What you'll be doing:
The People Officer will oversee the entire onboarding process for new hires within MENA region. This role involves ensuring a seamless, efficient, and engaging experience for all new employees. The role requires to manage the onboarding process from the moment candidates accept their job offer through to their integration into the company. This role will take care of the assigned business unit and report to People Executive
Job Description:
- Manage the full-cycle onboarding process for all new hires in the MENA region, from the acceptance of the offer letter to integration into the company.
- Preparing offer letters for MENA region (excluding UAE) in collaboration with the HRBP in respective MENA region.
- Communication with new hires information on the company, territory, visa process etc. Touch base with candidates on a regular basis to ensure engagement until their joining day.
- Validate the documents shared by the recruitment team and coordinate with the candidates for pending documents.
- Coordinate with the Government relation (GR) team (e.g., MOL, immigration, etc.) to ensure timely processing of employment visa or work permit application.
- Coordinating with Travel Team for Hotel and Ticket booking of overseas hires
- Coordinate with line manager and HRBP for asset confirmation such as laptop, sim card and other IT related assets.
- Coordinate with support function teams like I.T and Admin for asset preparation in advance for new joiners
- Generation of E-Codes and Employee Profiles on systems like Success Factors, SAP etc.
- Share the welcome invite and coordinate with the L&D team for the Corporate Induction.
- Prepare and distribute welcome packs, employee handbooks, and keep all required assets and joining forms ready and create a great experience for their first day.
- Registering new hires on Attendance Biometric System on the first day of joining and sending the information to payroll for activation.
- Ensure all the ID information and joining documents are updated on Success Factor.
- Participating with the team and delivering on key projects as assigned by management
- Planning with Shared Accommodation Team for bed spaces for Grade 1 – 3 hires where applicable
- Applying and keeping a record of new hires and dependents medical insurances
- Tracking Emirates ID Biometric appointments date to avoid penalties
- Working with selected Bank Account Representatives to ensure smooth account openings
- Opening C3 Accounts for certain salary bands
- Ensuring new hires are settling well within the company and answer their queries effectively
- Update the status about the candidates in our internal onboarding system – REVO with accuracy.
- Ensure timely onboarding updates are given to line managers, HRBP, TA and other stakeholders.
- Ensure weekly onboarding updates are shared to the Stakeholders and prepare reports on MS Excel for dashboard, audit and other reporting requirements

Educational Qualification:
- Bachelor’s degree – Any field
- Master’s Degree / Diploma / Certification in HR or any related field is an added advantage
Experience:
- Minimum 6 months – 2 years’ experience in an HR function (MENA region preferred)
- Previous experience as an HR Intern, HR Generalist or any HR role involving Onboarding will be an added advantage
